ChampionEffect Privacy Policy

ChampionEffect Inc. ("ChampionEffect," "we," "us") helps organizations capture and share how their people use AI to get work done. This Privacy Policy explains what we collect, how we use it, and the choices you have. It applies to the ChampionEffect web application and related services (the "Service") and to visits to our public website.

ChampionEffect is sold to organizations. If you use ChampionEffect through your employer or another organization (your "Company"), that Company administers your account and decides how the Service is configured and used. This policy describes our practices; your Company's own policies also apply.

Who controls your data

For most information processed through the Service, your Company is the controller and ChampionEffect is a processor acting on the Company's instructions. We process personal data to provide the Service to the Company and as described here.

Information we collect

• Account and profile information. ChampionEffect accounts are created by invitation from your Company (there is no public sign-up). When you are invited and set up your account, we collect your email address and, during onboarding, your name, job title, and department. We also keep a record that you accepted this policy and our User Agreement when you activated your account, including when you accepted and which version of each document you were shown. If you sign in with Google, we receive basic profile information from Google to sign you in.
• Content you contribute. When you upload or record a workflow, we collect the video you provide (including any narration), an automatically generated transcript of any audio it contains, and metadata derived from the video (such as a summary, the tools used, a step-by-step breakdown, and suggestions for improving the workflow), which you can edit. We also store the title, description, and tags you add. In addition, the Service derives an AI-adoption skill assessment of the workflow — a tier on a skill rubric and a short rationale — reflecting how the workflow uses AI. As part of preparing the polished version of a workflow video, the Service also checks the recording for on-screen content you may not want to share with others (such as passwords or other credentials, personal messages, or activity unrelated to the workflow) and derives sensitivity annotations — the kind of content spotted, when it appears, and where on screen. The polished version may automatically obscure or omit such moments, and the annotations are shown to you so you can review them and ask for further changes before sharing; your original recording is kept unaltered.
• Engagement. We store the votes, comments, improvement suggestions, and a record of how you interact with a recipe (such as viewing or sharing one) so the Service can show what your team finds useful.
• Waitlist requests. If you ask us to contact you by joining the waitlist on our website, we collect the email address you submit and use it only to respond to your request. It is delivered to our team as an email (through our email provider) and is not stored in the Service, added to a marketing list, or shared beyond that. For this information, ChampionEffect is the controller.
• Booking a call. If you book a call with us from our website, the booking form that opens on the page is provided by a third-party scheduling service. The name, email address, and time you choose, and anything else you enter into that form, are collected by that service on our behalf and used only to arrange and hold the call. Loading the booking form also sends standard technical information about your visit (such as your IP address) to that service. For this information, ChampionEffect is the controller.
• Technical information. We collect basic information needed to operate and secure the Service, such as authentication tokens and standard server logs, diagnostic, error, and performance reports, and usage information about how you interact with the Service (such as pages viewed and features used). To keep the Service secure and accountable, we also keep a security audit log of account and administrative activity in your Company's workspace, such as invitations, permission changes, content moderation, and access by our staff. Each entry records the acting account and related network information such as IP address.

In-browser recording

If you record a workflow in the browser, the Service uses your browser's screen-capture and your microphone, which you must explicitly allow. Browser recording captures your microphone as narration by default (there is no in-app option to turn it off), so the workflow can be analyzed; if your microphone is unavailable or you decline access, the recording simply proceeds without audio. System audio is not captured. (Workflows you upload as a file may of course be silent.) Recording does not begin until you press record; it only occurs while you are actively recording, and you can pause at any time — paused moments are not captured. The resulting video is uploaded and processed as described above.

Analytics and session replay

Within the Service — the application, as opposed to our public website — we use product analytics, including session replay, to diagnose problems and improve the Service. Session replay reconstructs how the interface was used during a session; text you type into input fields is masked by default so its contents are not captured. Replay and analytics data are used only for these purposes and are processed by a service provider on our behalf.

Website visitors and cookies

This section covers visits to our public website at championeffect.com, including by people who do not have an account. When you visit, we collect the technical information your browser sends (such as IP address, browser and device type, and the pages you view) and use product analytics to understand how the site is used.

We use cookies and similar browser storage for two purposes: to keep you signed in to the Service, and for analytics, so we can tell repeat visits from new ones and diagnose problems. We do not use advertising or cross-site tracking cookies, and we do not sell personal data. You can block or delete cookies in your browser settings; blocking them may prevent you from signing in. We do not currently respond to browser "Do Not Track" signals.

How we use information

• To provide the Service: host your library, transcribe, analyze, and assess workflows, prepare edited ("polished") versions of workflow videos with generated narration — including checking recordings for content you may not want to share and obscuring or omitting it from the polished version — power search, and display engagement.
• To send Service email to your account address: essential messages (invitations, password resets, changes to your account role) and product notifications (for example, when a workflow you contributed finishes processing, when a colleague comments on or proposes an improvement to your recipe, when a colleague sends you a recipe, and reminders about your unpublished drafts). Notifications about a recipe — your own drafts and recipes, or a recipe a colleague sends you — may include the recipe's title and a preview image taken from its video, loaded through a link that expires after a limited time. You can turn off non-essential notification emails in your profile settings; essential messages are always sent.
• To operate, secure, support, and improve the Service, including setup and implementation help.
• To comply with law and enforce our agreements.

How content is shared

ChampionEffect is a sharing tool. Content you contribute is private to you by default: while it is an unshared draft it is not shown to anyone else — including your Company's administrators — until you choose to share it to your Company's library. Once you share it, it is visible to other members of your Company on the Service, along with your name as the contributor and aggregate engagement (for example, how many people used a recipe). Content is scoped to your Company; it is not shared with other organizations. Your Company's administrators can manage the content you have shared and accounts — including accessing, removing, or hiding shared content in the Company's workspace.

Sending a recipe to a colleague. You can send a recipe you can already see to named colleagues in your Company. We email each person you choose, telling them your name and the recipe's title. Recipients can turn these emails off in their profile settings.

Public links. If your Company's administrators enable the feature, you can create a public link to a recipe you have shared to the library. A public link opens that recipe — its title, description, department, step-by-step breakdown (including any prompts, links, and commands in its steps), tool and intended-role tags, its AI Adoption Tier placement and rationale, the contributor's name and job title, Company name, and video, including any narration — to anyone who has the link, without signing in. It does not expose engagement, comments, or improvement suggestions, and it is not indexed by search engines. Only a shared (non-draft) recipe can have one; each recipe has at most one link at a time; and the person who created it, your Company's administrators, and the Company-wide setting can each revoke or disable it at any time, which stops the link — including access to its video — working immediately. Public links are off for a Company until an administrator turns them on, and turning the feature on does not itself make any recipe public — someone must create a link for a specific recipe.

ChampionEffect personnel access

Authorized ChampionEffect personnel may access your Company's workspace — including its content — to set up, configure, support, and troubleshoot the Service on the Company's behalf. This access is limited to those purposes, restricted to staff who need it, and does not share your Company's data with other organizations.

Service providers (subprocessors)

We use a small number of vendors to run the Service, under contracts that limit their use of data to providing services to us:

• AI processing. We use third-party AI providers to analyze contributed workflows — for example, to generate the summary and step-by-step breakdown and to assess how the workflow uses AI. Contributed content (the workflow video, including any narration, and its transcript) is shared with these providers for that purpose. They do not retain it beyond what processing requires or use it to train their models.
• Speech-to-text. Audio from your uploaded workflows is transcribed by our cloud infrastructure provider's speech-to-text service.
• Voice synthesis. As part of preparing a recipe, narration text derived from your workflow is sent to our cloud infrastructure provider's text-to-speech service to produce narration audio.
• Analytics and error tracking. We use a service provider for product analytics, session replay, and error diagnostics.
• Scheduling. We use a scheduling service so website visitors can book a call with us; it receives what you enter into the booking form and the technical information involved in showing it.
• Hosting, database, authentication, and email. We use infrastructure and platform vendors to host the application, store data, authenticate users, and send transactional email.

We will update this policy and notify customers before adding subprocessors that materially change how data is handled.

Data retention

We retain account and content data for as long as your Company maintains its account, and then delete or de-identify it within a commercially reasonable period, unless a longer period is required by law. Your Company can delete content and accounts through the Service. We keep security audit logs for a limited additional period (currently around 13 months) to protect the Service and meet our security and compliance obligations; these logs are not removed by ordinary content or account deletion.

Security

We use industry-standard measures to protect information, including encryption in transit and access controls. No method of transmission or storage is completely secure.

Your choices and rights

Depending on your location, you may have rights to access, correct, or delete personal data. Because your Company controls most data in the Service, please direct requests to your Company; we will assist the Company in responding. You can update your profile in the Service at any time.

Eligibility

The Service is intended for use by people who are at least 18 years old in a professional capacity. It is not directed to children.

International data transfers

We host the Service in the United States. We may process information in countries other than where you live. Where required, we use appropriate safeguards for cross-border transfers.

Changes to this policy

We may update this policy from time to time. We will revise the effective date above and, for material changes, provide notice to customers.
